How we handle personal data at hbs connect. Plain English, no lawyer-speak where we can help it.
Who we are
HBS Connect Limited (trading as "hbs connect") is a managed IT provider based in Wexford, Ireland. Our registered office is at Wexford Office and Business Park, Whitemill Industrial Estate, Wexford, Y35 FRP1.
This policy explains how we handle personal data collected through hbsconnect.ie. If you are an existing client, a separate data processing agreement governs the data we handle on your behalf as part of our managed service.

What we collect
From our contact form. Your name, email address, phone number (if you provide one), company name (if you provide one) and the message you send us.
From analytics. We use Datafast, a privacy-first analytics tool that does not set cookies and does not store anything on your device. It gives us aggregated traffic data and does not identify individual visitors.
From our web server logs. Standard request metadata (IP address, user agent, timestamp, URL requested). This is used for security and debugging and is kept for a short period.
We do not collect special category data. We do not buy or receive personal data from third parties.
Why we collect it
- To respond to your enquiry. If you fill in our contact form, we use your details to reply, book a meeting and follow up.
- To improve the site. Aggregated traffic data helps us see what content is useful.
- To keep the site secure. Request logs help us spot abuse and protect the service.
Our legal basis under Article 6 of the GDPR is your consent (for form submissions you initiate) and our legitimate interest (for analytics and security logging). If you become a client, we also process data on the basis of our contract with you.
How long we keep it
- Contact form submissions are kept for 24 months, or longer if you become a client.
- Client data is retained for the duration of the engagement plus 7 years, to meet Irish accounting and tax obligations.
- Web server logs are kept for 30 days.
- If we add a newsletter, subscribers can unsubscribe at any time and we remove records on request.
Third-party processors
We use a small number of services that may process your data on our behalf. Each is bound by a data processing agreement and appropriate contractual safeguards. We share only the minimum data required for the service.
- HaloPSA (EU data centre): ticketing and CRM. Contact form submissions flow here.
- Datafast: cookieless, privacy-first analytics.
- n8n and Cloudflare: the automation layer between our contact form and HaloPSA, and the CDN that serves the site.
- Microsoft 365: email and internal collaboration.
Your rights
Under Irish and EU data protection law, you can:
- Access the personal data we hold about you
- Ask us to correct anything inaccurate
- Ask us to erase your data where there is no overriding legal reason to keep it
- Ask us to restrict or stop processing your data
- Receive a portable copy of your data
- Object to our processing, including processing based on legitimate interest

If you believe we have mishandled your data, you can complain to the Data Protection Commission, Ireland's supervisory authority.
